Terms and Conditions of the Reservation Contract



Vairocana S.L. offers Extra-Hotel Accommodation Service under the following conditions:
I. Check in and Check out
Entry: from 17:00 h. to 21:00 h. From 21:00 h, entry will be independent. Important: before entry, it is necessary to check in online for all those over 16 years of age.Departure: until 12:00 h. If you are accompanied by a pet, until 11:00 h. Before 08:00 h, exit will be independent.
II. Booking Reservations
All our villas can be booked through our website, directly with us or through any of the OTAs where we have them advertised.
III. Payment Method
Payment can be made by card or bank transfer.For the "Best Price Guaranteed" Rate, 100% of the total amount will be paid 15 days before arrival at the establishment for reservations that fall in the mid and low season.For the "Best Price Guaranteed even in High Season" Rate, 100% of the total amount will be paid 30 days before arrival at the establishment for reservations that fall in the high season.For Non-Refundable Rates, 100% of the total amount will be paid at the time of booking.Payment for services consumed during the stay: extra cleaning, extra linen changes, mini bar, laundry, extra heating in heated pools, etc., must be paid at the end of the stay.
Pre-authorization/Deposit
A pre-authorization of €50 is included in all reservations. It will be automatically retained on the day of arrival. And it will be automatically released seven days after departure, provided that all the rules listed in section VII: House rules are met. Otherwise, it will be effective.If the deposit is paid in cash on the day of arrival, it will be returned upon departure as long as all the rules in section VII: House rules are complied with.
IV. Cancellations and/or modifications
To formalize a cancellation, it is necessary to write an email to [email protected] with the subject “Reservation cancellation”.The client can cancel the reservation free of charge if they cancel before 30 days prior to the arrival date for the “Best Price Guaranteed even in High Season” rate, for reservations that coincide with High Season.The client can cancel the reservation free of charge if they cancel before 15 days prior to arrival for the “Best Price Guaranteed” rate, for reservations that coincide with Mid or Low Season.The client will have to pay the total price of the reservation if he/she cancels during the 30 days prior to the arrival date in the "Best Price Guaranteed even in High Season" Rate and the cost of cancellation will be 100% of the amount paid, in reservations that coincide with High Season.The client will have to pay the total price of the reservation if he/she cancels during the 15 days prior to the arrival date in the "Best Price Guaranteed" Rate and the cost of cancellation will be 100% of the amount paid, in reservations that coincide with Medium or Low Season.The client will have to pay the total price of the reservation if he/she cancels once the reservation has been made for the Non-Refundable Rates and the cost of cancellation will be 100% of the amount paid. In the event of having contracted travel insurance, it will be the client, if he/she wishes, who must contact it for any request derived from the cancellation. In no case will Vairocana S.L. act as a mediator between both parties.For To make a change to a reservation for the "Best Price Guaranteed" and "Best Price Guaranteed even in High Season" rates, you must send an email to [email protected] with the subject "Reservation Change" and the new dates of the reservation.The client can change the reservation free of charge if they change it before 30 days prior to the arrival date for the "Best Price Guaranteed even in High Season" rate for reservations that fall in High Season.The client can change the reservation free of charge if they change it before 15 days prior to arrival for the "Best Price Guaranteed" rate, for reservations that fall in Mid or Low Season.In reservations made in Non-Refundable Rates, it is not possible to change the dates.In any case, our cancellation policy does not contemplate a change of reservation dates within the non-free cancellation period.In the event of a change of dates during the non-free period, the cost will be 100% of the amount paid. In this case, the client will have to pay 100% of the new reservation.
No-show
If the client does not show up, he/she will have to pay the total price of the reservation and the cost of the no-show will be 100% of the amount paid.
V. Seasons
High: From July 1st to August 31st and Easter.Medium: June, September, October, Christmas, long weekends and holidays.Low: Rest of the year.
VI. Rates
"Best Price Guaranteed" and "Best Price Guaranteed even in High Season" Rates: Refundable and Modifiable according to the conditions established in "Cancellations and/or Modifications" described above.Non-Refundable Rates: Non-refundable and non-modifiable once the reservation has been made.
VII. House Rules
Pets allowed
Pets are allowed and an extra charge of €10 is charged. They are not allowed to use the bed and bath linens, or to climb on the furniture (bed, sofa bed or rest areas with mats or cushions...). The villa must be left in the same clean and hygienic condition as when it was delivered.Pets are not allowed in the pools or ponds.If you are accompanied by a pet, check-out is until 11:00 a.m.If these rules are not complied with, the pre-authorization will be made effective upon departure or the deposit will not be returned.
Parties/events are not allowed.
Smoking is not allowed inside the house. Smoking is not allowed in the windows of the house.In any case, if you smoke, the deposit will be charged.
Conditions for stays with children and extra beds:Children of all ages can stay. At the request of our guests, we provide a cot (sheets and blankets are not provided for cots).We do not offer extra beds.Maximum number of people per house: those stipulated on our website for each house.Damage due to misuse of the facilities and their contents, as well as missing objects. Damage caused by our guests or their pets, both in the houses and in the gardens, terraces, swimming pools, etc., due to misuse, will be billed to the person responsible for the reservation, and will be paid upon departure or upon repair or replacement, if necessary, of the damaged object or objects. The deposit will be charged upon departure of the guests in the event that it is verified that objects have disappeared in the amount that covers the expenses. The deposit for misuse of the facilities by pets will be charged in the amount that covers the expenses. In the event that the deposit does not cover the expenses, these will be invoiced separately and the corresponding invoice will be sent to the guest who made the reservation via email.Hygiene and cleaning conditionsThe deposit/pre-authorization will be charged whenever the house is not left in the same clean and hygienic conditions in which it was delivered.Charging of electric carsCharging of electric cars is not permitted until our facilities have a device installed for this purpose.
VIII. Services
Reception
Reception hours: from 08:00 to 21:00.Online support is also available from 08:00 to 21:00 at 650846571.The reception and delivery of keys is carried out by our staff at the reserved house from 17:00 to 21:00. After this time, entry will be independent.Upon departure, our staff will pick up the keys from 08:00 to 12:00. Before this time, exit will be independent.
Linen changes and cleaning
All reservations of more than four nights include a free cleaning and linen change service for the bed, bathroom and kitchen. Cleaning and replacement of necessary items will be done so that they coincide in the middle of these 4-night periods.
Breakfast
The first breakfast is included in the price paid when making the reservation. Breakfast will be based on products prepared by our staff or packaged with typical regional products.
Outdoor heated pools.
They are in operation every day of the year.Hours and Temperatures:
The temperature of the pools will remain at a minimum of 25/26 degrees from 11:00 p.m. to 5:00 p.m. throughout the year.Likewise, for guests who do not contract the extra heating, these temperatures will be maintained 24 hours a day.For guests who contract the extra heating service: From 5:00 p.m. to 11:00 p.m., the temperature will be raised to a maximum of 29/30 degrees.
Important note to keep in mind: Outdoor heated pools are considered those in which the water temperature is between 24 and 30 degrees. Above 30 degrees it is considered a spa.The heated pools are outside the houses and their temperature is automatically regulated depending on the weather conditions:. On days when the outside temperature is favourable and exceeds 20 degrees, the water temperature will be at a maximum of 29/30 degrees.. On days when the outside temperature falls below 20 degrees, the water temperature will not exceed 27/28 degrees under any circumstances.. If the outside temperature falls below 15 degrees, it will not exceed 25/26 degrees under any circumstances.. If the outside temperature falls below 13 degrees, it will not exceed 25 degrees under any circumstances.. In extreme cases where the weather is particularly adverse, such as cold alerts, strong winds, frost, snowfall and/or when the outside temperature falls below 10 degrees, these conditions may change: for safety reasons and when the required temperatures are not being reached, the heating may stop completely. As soon as conditions improve, the system will automatically resume its operation, gradually returning to the original conditions.
Sauna for the villa with this service.
It is in operation every day of the year for guests who contract this service.The available times will be the following:From 12:30 p.m. to 2:00 p.m.From 5:30 p.m. to 7:00 p.m.From 8:30 p.m. to 10:00 p.m.

BarbecueAt the request of our guests we will leave a portable barbecue in the garden. Utensils are provided, but not charcoal.
IX. Maintenance and Cleaning
The staff will go through the exterior of the houses for the correct maintenance of the facilities (gardens, terraces, sun loungers, swimming pools, saunas, etc.) whenever necessary, from 10:00 a.m. to 2:00 p.m. The staff will go through the houses, unless otherwise requested, every 5 days, for stays of more than 4 nights, from 10:00 a.m. at 14:00h. for cleaning and replacing bed and bath linen and replenishing paper, kitchen cloths and what has been consumed from the mini bar, coffees, snacks, etc.Note: During the stay, guests will not be notified that the staff will access the outside of the property during the hours described above. When accessing the interior for cleaning or changing of rags will always be notified. The staff may access the interior of the property in the event of a breakdown, power cut, water leak, deterioration, replacement, fire or any other incident that requires immediate action. Always with prior notice to the guests.
X. Data Protection
The person responsible for processing your data is Vairocana S.L. Your data will be processed for the purpose of managing administrative services and billing for our services. The legitimacy for the use of the data is based on the execution of a current contract or provision of services. Data will not be transferred to third parties, unless legally required. The data will be destroyed once you have communicated your withdrawal and/or the legal retention periods have ended. International data transfers or profile analysis will not be carried out. Interested parties may exercise their rights of access, rectification, deletion, opposition or limitation of processing, by contacting Vairocana S.L. at the following address: Barrio Yuso No. 4A, C.P. 39360, Santillana del Mar, Cantabria, Spain or by email: [email protected]. Likewise, you can file a claim with the Spanish Data Protection Agency if you consider that your rights have been violated.
The client accepted the terms and conditions of this reservation contract on the day of payment of the reservation.
Term and conditions valid for the year 2024.
